This policy explains what personal information Service Freezers Limited collects through this website and when you contact us, how we use it, and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Who We Are

Service Freezers Limited ("Service Freezers", "we", or "us") is located at 3160 Caravelle Dr, Mississauga, Ontario. We're responsible for the personal information we collect, and our Privacy Officer oversees how we handle it.

This website is for businesses. Most of what we receive is business contact information, such as your name, job title, and work email, which we use to communicate with you about your company's needs.

Information We Collect

Information you give us

When you use our contact form, we collect your name, email address, inquiry type, and message. When you email or call us, we receive whatever you choose to share, such as your name, company, contact details, and the details of your request.

Please don't include sensitive personal information, such as health or financial details, in your message.

Information collected automatically

Like most websites, our web server receives technical information each time a page loads, such as your IP address, browser type, the page requested, and the date and time. Our hosting provider keeps this in standard server logs.

When you submit the contact form, we also store a one-way scrambled (hashed) version of your IP address and the time, to stop the form from being flooded with spam. We use it for nothing else. It expires after 10 minutes, and expired records are deleted automatically.

We don't use analytics, advertising, or other tracking tools.

How We Use It

We use personal information to:

  • respond to your inquiry and give you the information or quote you asked for;
  • provide our services and manage our business relationship with you or your company;
  • keep the website and contact form secure, and prevent spam and abuse;
  • meet our legal and regulatory obligations.

We don't sell personal information or use it for advertising. We won't add you to a marketing email list unless you ask us to, and we'll ask for your consent before using your information for any other purpose.

Consent

By submitting the contact form, emailing, or calling us, you consent to our using your information as this policy describes.

You can withdraw your consent at any time, subject to legal or contractual restrictions, by contacting our Privacy Officer. If you do, we may not be able to respond to your inquiry or continue a service.

Who We Share It With

Service providers

We use a small number of providers to run our website and email. They may use your information only to provide their services to us:

  • GoDaddy hosts this website and the contact form.
  • Resend delivers contact form submissions to our inbox.
  • Our business email provider stores the messages we send and receive.

Google

Some parts of this site load directly from Google, which receives your IP address and browser information when they do:

  • Google Fonts supplies the typefaces on every page.
  • Google Maps shows our location on the Contact page.
  • YouTube supplies the video and its preview image on the Home page. The player uses YouTube's privacy-enhanced mode and loads only when you press play.

Google handles this information under its own Privacy Policy.

When the law requires it

We may disclose personal information where the law requires or permits it, such as in response to a court order or a request from a government authority.

Storage Outside Canada

Resend and Google process information in the United States, and our other providers may also store it outside Canada. While it's outside Canada, it's subject to the laws of that country, and may be accessed by its courts, law enforcement, and national security authorities.

Cookies

This site doesn't set its own cookies, and we don't use analytics or advertising cookies.

The Google Maps embed on our Contact page may set cookies from Google, and the YouTube player on our Home page may store information in your browser once you press play. You can block or delete cookies in your browser settings. That may stop the map or video from working, but the rest of the site will still work.

How Long We Keep It

We keep inquiries and related correspondence only as long as we need them for the purposes above, including any business relationship that follows and our legal record-keeping requirements. We then delete or destroy them securely.

Hashed IP addresses used to stop spam expire after 10 minutes. Server logs are kept by our hosting provider for a limited time.

How We Protect It

We use safeguards suited to the sensitivity of the information:

  • The site uses an encrypted (HTTPS) connection.
  • The contact form can only send messages to our own inbox, and the credentials it uses are stored outside the public website.
  • Access to inquiries is limited to the people at Service Freezers who need them for their work.

No way of sending or storing information is completely secure. If a breach creates a real risk of significant harm to you, we'll notify you and the Office of the Privacy Commissioner of Canada, as the law requires.

Your Rights

You can ask us to:

  • tell you what personal information we hold about you, how we've used it, and who we've shared it with;
  • correct information that's inaccurate or incomplete;
  • stop using your information, by withdrawing your consent as described above.

Send your request to our Privacy Officer. We may need to confirm your identity, and we'll respond within 30 days. If we can't give you access to some information, we'll tell you why, unless the law prevents us.
